Planning personal stays in a managed Bali residence
Embrace editorial team ·

Before buying a managed Bali residence for both personal stays and rental use, ask for the written owner-use policy and test it against the dates you expect to visit. Confirm how stays are requested, which conditions apply, what they cost and how they interact with guest bookings. Your ability to use a particular residence should be established in the relevant agreement.
The most useful starting point is a realistic calendar. Write down the weeks you are likely to spend in Bali, how much flexibility you have and whether friends or relatives might use the property without you. This gives the sales and operating teams something specific to review.
Define the stay you actually want
Separate fixed dates from preferences. A visit tied to a particular event may require certainty well in advance. A flexible month-long stay raises different questions about availability, servicing and household needs. Tell the team which dates are essential before narrowing your unit selection.
Clarify whether you expect access to your exact unit or whether any alternative accommodation is contemplated. Ask whether personal use is measured in nights, stays or another unit, and whether any limits apply over a calendar year or a different period. Do not infer unlimited access from the word “owner”.
For ZEN Melasti, Embrace identifies OXO as its operator. OXO’s hospitality-management website describes guest-experience management, operational management, accounting and reporting among its general services. Use those descriptions as a starting point for requesting the proposed owner-use terms. They do not establish the booking rights for your particular purchase.
Walk through the booking process
Ask how far ahead a personal stay can be requested and when it becomes confirmed. Establish whether the process uses an owner portal, email or another method, and who sends the confirmation. A submitted request and a confirmed stay may be different stages.
Discuss existing guest bookings, any restricted dates and what happens if you change your plans. Ask when cancelled owner dates return to rental availability and whether there are charges or notice requirements. If your preferred dates are important to the buying decision, request the relevant answer in writing before relying on it.
Keep a confirmation record containing the unit, arrival and departure dates, occupants and services requested. Check who should be contacted if an arrival changes outside normal office hours. Avoid buying non-refundable travel based solely on an unconfirmed accommodation request.
Ask about the cost of staying
Request the charges that would apply during personal use. Possible categories to clarify include cleaning, linen, utilities, consumables and optional services. Ask what is included, what is metered or charged separately, and whether a minimum service frequency applies.
Also ask which ongoing property charges continue while you are in residence. Personal occupancy does not, by itself, tell you how a management agreement treats those costs. Keep an example statement with your notes so you can see how an owner stay would be recorded.
When reviewing any rental forecast, check that your intended personal-use dates are included in the assumptions. Removing dates from rental availability changes the calendar offered to guests. The financial effect depends on the actual agreement and demand for those dates; no particular income outcome should be assumed.
Plan for friends and relatives separately
A policy may treat accompanied visitors differently from people staying without the owner. Ask which categories exist, who can make a booking, what identification or registration is required and which charges apply. Check permitted occupancy and any rules for visitors using shared facilities.
If you intend to let someone else use the residence, describe that arrangement accurately. Obtain advice on any legal or tax questions rather than assuming that a complimentary stay, private arrangement and paid booking are interchangeable. Ask who handles the operational details once a permitted stay is confirmed.
Prepare the residence for switching between uses
Longer personal stays can involve belongings that you want to leave behind. Ask whether private storage is permitted, how it is secured and whether its location affects guest use or housekeeping. Establish who may access it and what happens to stored items during maintenance.
Discuss personal additions to furniture or equipment before bringing them in. Ask whether they can remain during guest bookings and who records their condition. Check the procedure for missing or damaged items, rather than assuming they fall under the same arrangements as the supplied inventory.
Before departure, ask for the steps needed to return the residence to guest-ready condition. Clarify checkout timing, inspection, cleaning and any time needed before the next booking. These practical details make the transition easier to plan.
Test one complete calendar example
Consider an illustrative request: you want three weeks in the residence, followed later by five nights for friends without you. Ask the team to show how each stay would be requested, approved, charged and recorded. Add one change, such as leaving two days early, and ask what happens next.
The point is to uncover a rule or dependency before it affects travel plans. If the team cannot confirm an answer yet, record the open question and the document or decision needed. Keep the agreed policy version with your purchase and management papers.
To discuss your own intended use, contact the Embrace team through the ZEN project page with your preferred dates and whether anyone would stay without you. Our off-plan buyer checklist covers the broader purchase questions to review alongside those plans.
